Xactimate Supplements
Xactimate Supplement Services for Restoration Contractors
Redefined Restoration LLC writes Xactimate supplements for restoration contractors nationwide. Send an estimate you've already written and we find what was missed and add it. The fee is $150 or 1% of only the new money we add, whichever is higher. Your original estimate amount is never charged.
Most short-paid jobs aren't underpaid because the work wasn't done. They're underpaid because it never made it onto the estimate.
Send us the estimate you already wrote, or the one that came back reduced. We compare it line by line against your photos, moisture logs and drying records, then add what's missing and what your documentation supports. You pay $150 or 1% of the new money only, whichever is higher. Your original amount is never charged.
What usually gets left off?
- Equipment days and monitoring that the drying logs support
- PPE and containment the job required
- Cleaning, prep and protection around the main scope
- Content manipulation and detach-and-reset
- Supervision, and items found after demo
What is an Xactimate supplement?
Short answer: A revision that adds scope, quantities or line items missing from an existing estimate.
Jobs change once walls are open and equipment is running. Line items get missed when an estimate is written fast, at night, or by someone who wasn't on the job. A supplement documents the additional work so the estimate reflects the job that was actually done. See the glossary for related terms. For a step-by-step look at the process, see how insurance supplements work.
How does supplement pricing work?
Short answer: 1% of the new money we add, with a $150 minimum. The original amount is never part of the fee.
| Example A: Smaller increase | Example B: Bigger increase | |
|---|---|---|
| Your original estimate | $10,000.00 | $20,000.00 |
| New money we added | +$4,000.00 | +$20,000.00 |
| New total | $14,000.00 | $40,000.00 |
| 1% of new money | $40.00 | $200.00 |
| You pay | $150.00 (minimum applies) | $200.00 (original $20,000 not charged) |
Your original estimate amount is never charged.
Supplement fees are billed on the 14th and 28th of each month, like estimating. The $150 minimum applies to any supplement increase up to $15,000.
What do you look for in a supplement?
Short answer: Scope, quantities and line items your documentation supports that aren't on the estimate yet.
We review your estimate line by line against your photos, notes and readings. Common areas we check:
- Quantities that don't match the sketch or measurements
- Equipment and monitoring that the drying records support
- Prep, protection, cleaning and detach-and-reset work around the main scope
- Containment and PPE where the job required them
- Contents handling and debris removal
- Items discovered after demolition
We only add what your documentation supports. If you don't think an item will get paid, tell us and we'll remove it before you approve, and it isn't part of the fee.
What you receive
- Your revised Xactimate estimate with the added scope
- A clear view of what was added versus your original
- The ESX file and the completed PDF estimate report with the added scope
- A review step before anything is final
Can I add claim support to a supplement?
Short answer: Yes. The 3.5% claim support fee applies only to money paid above the carrier's written baseline.
Any amount the carrier approved in writing before we took the file is yours. We confirm that baseline with you in writing at RCV (for example, "Baseline: $20,000.00 RCV") before we start. If there's no written approval, the baseline is $0.
