Remote Xactimate Estimating That Stops Leaving Money on the Table
Missed equipment days, PPE, containment and cleaning. Estimates that sit for a week while you run crews. Short-paid invoices aging in AR.
We write complete, line-by-line Xactimate estimates and supplements, backed by IICRC S500/S520 and your documentation, so you can bill the whole job and get paid faster.
Your first standard file is on us: one typical, everyday file per new company. We review every request and may decline. If we do, we'll tell you before any work starts. See terms

Sound familiar?
These are the reasons contractors send us their first file.
Money left on the table.
Equipment days, PPE, containment, cleaning, content manipulation and supervision never made it onto the estimate.
What we do:
We write every line your photos, readings and drying logs support, so the estimate covers the job you actually did.
Aging AR on short-paid claims.
Invoices sit at 60 or 90+ days, and nobody has time to put together the supplement or the paperwork.
What we do:
We write the supplement ($150 or 1% of the new money only) and can add claim support: status follow-up, documentation packages and line-item answers on your invoice. 3.5% of the final amount paid above the carrier's written baseline, paid when paid. Nothing paid, no fee. You make every decision.
You're the bottleneck.
You're running crews, selling and managing cash, and estimates pile up unwritten.
What we do:
Send us the job from your phone. You get the estimate back to review, typically in 24–48 hours.
Slow estimates mean slow cash.
Every day a file sits is another day before you're paid.
What we do:
A faster turnaround gets the estimate submitted sooner, which starts the payment clock sooner.
Desk adjusters and TPAs cut line items.
Lines without a documented reason are the easiest to remove.
What we do:
Every line is backed by IICRC S500/S520, F9 notes and your documentation, so the reason it's on the estimate is written right there. You submit it under your name, and you make the calls.
A full-time estimator costs too much.
Salary, benefits, a truck, an Xactimate license and training, even in slow months.
What we do:
You pay per file, only when there's work: $150 or 1% of the estimate you approve, whichever is higher.
Storm, CAT and seasonal spikes.
You can't staff for the surge all year.
What we do:
We take more files when volume spikes and fewer when it drops. No hiring, no layoffs, no contract minimums.
Good estimators are hard to find and keep.
What we do:
No recruiting, no training, and you won't lose your estimator to a competitor. The two owners write every file.
Every estimate looks different.
Inconsistent scopes lead to re-inspections and back-and-forth.
What we do:
Standardized scope, F9 notes, photo documentation and pricing on every file, which cuts down on rework and questions.
You want to grow the business, not write estimates.
What we do:
Hand off the estimating and spend that time building relationships with agents, plumbers and property managers.
If two or more of these sound like you, send us a file.
Redefined Restoration LLC is not a public adjuster and does not negotiate claims, represent policyholders or provide collections services. We write estimates and supporting documentation for restoration contractors, and the contractor makes every decision on their own invoice. Payment amounts are not guaranteed.
What does Redefined Restoration do?
Short answer: We write Xactimate estimates remotely for restoration contractors, grow estimates you've already written (supplements), and provide administrative claim support on your invoice until it's paid.
We work only with restoration contractors. You send photos, moisture readings, sketches and scope notes. We turn them into a complete, line-by-line Xactimate estimate and send it to you to review. You approve it as written or tell us what to remove, and the approved version is final.
You can use one service or all three:
Estimating
We write a new estimate from scratch
- Price
- $150 or 1%, whichever is higher
- Applied to
- The estimate total you approve
Supplements
We grow an estimate you already have
- Price
- $150 or 1%, whichever is higher
- Applied to
- Only the new money we add
Claim Support
Follow-up, documentation and line-item support on your invoice until it's paid
- Price
- 3.5%, paid when paid
- Applied to
- The final amount paid, minus the carrier's written baseline
What loss types do you write Xactimate estimates for?
Short answer: Every phase of a restoration job: mitigation, remediation, contents, emergency services and reconstruction.
- Water damage mitigationextraction, drying, demo and equipment, documented to IICRC S500
- Fire and smoke remediationsoot, odor, cleaning and sealing
- Mold remediationcontainment, removal and cleaning, aligned with IICRC S520
- Reconstruction and remodelfull rebuild scope back to pre-loss condition
- Asbestos and lead abatementtesting, containment and removal scope, lead-safe work practices
- Contents packout, storage and pack back, emergency tarping and board up
How does remote estimating work?
Short answer: You send the documentation, we write the estimate, you review and approve it, and the approved total sets the fee.
Step 1
Send docs
Photos, moisture readings, scope notes, whatever you have.
Step 2
We scope & write
A complete, line-by-line Xactimate estimate, on our own Xactimate license. You never share credentials.
Step 3
You get ESX + PDF
You review and approve, or ask us to remove items you don't think will get paid. The approved estimate comes back as an ESX file and a PDF report.
Step 4
Supplements if needed
If the job changes or comes back short, we supplement it. You pay only on the new money.
The approved total sets the fee: 1% of the version you approve, or $150 minimum.
Want help after it's submitted? Add claim support.
What do you get back with every estimate?
Short answer: An Xactimate ESX file and a completed PDF estimate report, ready to submit under your company's name.
ESX file
- Opens in Xactimate
- Ready to import and submit under your company's name
- Editable if the scope changes
PDF estimate report
- Line-by-line scope, quantities and pricing
- Easy to share with your team
- Keep it with your job file
How much does a remote Xactimate estimate cost?
Short answer: $150 or 1% of the approved estimate, whichever is higher. Any estimate up to $15,000 is a flat $150. Above $15,000, it's 1%.
The fee is based on the estimate you approve, not on what the carrier ends up paying. If you think a line item won't get paid, tell us before you approve and we'll remove it, and it isn't part of the fee. Estimating and supplement fees are billed twice a month, on the 14th and the 28th.
$10,000 approved estimate
$150
(1% is only $100, so the minimum applies)
$19,250 approved estimate
$192.50
$32,000 written, you remove $4,000 of items, $28,000 approved
$280
No subscriptions and no software costs. See every worked example on the pricing page.
Why outsource Xactimate estimating instead of hiring an estimator?
Short answer: You pay per estimate, only when you have work, instead of carrying a full-time salary through slow months.
A full-time W-2 estimator costs roughly $100,000–$130,000+ a year once you add salary, payroll taxes, benefits, PTO, training and software, whether claims come in or not. With Redefined, there's no overhead, no extra Xactimate seat and no training. Every hour you spend on estimates is an hour off the job.
Who writes the estimates?
Short answer: The owners do. Michael White and Erik Pauliks, co-owners with 25+ combined years of restoration experience, personally write every estimate. Nothing is subcontracted or sent overseas.
Our estimates are written from the field, not a cubicle. Michael and Erik have been best friends since fifth grade. They started their mitigation careers in Chicago, then moved up to upper management after relocating to Huntington Beach, California: Erik as mitigation manager, Michael as general manager. Today they run Redefined Restoration from Huntington Beach, serve contractors nationwide, and personally write every estimate. Michael holds the IICRC Water Damage Restoration Technician (WRT), Applied Structural Drying (ASD) and Fire and Smoke Restoration Technician (FSRT) certifications. Erik holds the IICRC WRT and ASD certifications. Every estimate reflects how the work actually happens on a job site.

Can I try you out first?
Short answer: Yes. Your first standard file is on us.
We want to earn your business, not pitch it. Send us your first everyday job and we'll write the full Xactimate estimate free of charge, so you can see the quality, detail and speed firsthand before committing to anything. No credit card needed. Just send your docs and we'll deliver.
One free estimate per new company, for a typical, everyday loss. Large or complex losses (like whole-structure fires or large commercial jobs) aren't eligible. We review every request and may decline the free estimate at our discretion. If we do, we'll tell you before any work starts, so you're never surprised by a fee.

Frequently asked questions
Do you work with contractors outside your home state?
Yes. We work remotely with restoration contractors anywhere in the United States.
How fast will I get my estimate?
Typically 24–48 hours, depending on the complexity of the scope. Larger or multi-trade losses may take longer, and we tell you the timeline up front.
Are you public adjusters?
No. Redefined Restoration LLC is not a public adjuster, insurance adjuster or law firm. We work only for contractors, we don't represent or contact policyholders, and we don't negotiate or settle claims.
What is a remote Xactimate estimator?
A remote Xactimate estimator writes your insurance estimate in Xactimate from the documentation you send (photos, measurements or sketches, moisture readings and scope notes) without visiting the job. At Redefined Restoration, co-owners Michael White and Erik Pauliks personally write every estimate on our own Xactimate license.
What do I get back with every estimate?
The ESX file and the completed PDF estimate report, on every estimate and supplement. You review it, approve it as written or tell us what to remove, and submit it under your company's name. See ESX vs. PDF.
How much does outsourced Xactimate estimating cost?
$150 or 1% of the estimate you approve, whichever is higher, so any estimate up to $15,000 is a flat $150. Supplements are $150 or 1% of only the new money added. Optional claim support is 3.5% of the final amount paid above the carrier's written baseline, and it's only owed after you're paid. See pricing.
Do I need my own Xactimate license?
No. We write everything on our own Xactimate license, so you never share credentials or pay for another seat.
Can you supplement an estimate I already wrote?
Yes. Send the estimate (the ESX file if you have it, or the PDF) with your job documentation. We add what's missing for $150 or 1% of only the new money added, whichever is higher. Your original amount is never charged. How supplements work
Is my first estimate free?
Yes. Your first standard file is on us: one free estimate per new company, on a typical file for an everyday loss. Large or complex losses, like whole-structure fires or large commercial jobs, aren't eligible. We review every request and may decline the free estimate at our discretion. If we do, we'll tell you before any work starts. See the free first estimate terms
